12_21_15_Approve an Elapsed Timesheet


Concept

In this topic, you will approve a direct report's elapsed timesheet.


Steps:

  1. Click the Main Menu button.

  5. Click the Approve Time and Exceptions menu.

  6. Click the Reported Time menu.

    In this page you will be able to pull any reported time with a Needs Approval Status. If you are looking to pull all your employees you can leave all the search fileds empty and click on the Get Employees button.

     

    In this example we will search for an employee using the Last Name field.

    Click in the Selection Criterion Value field.

  11. Your search results will be displayed in the Time Summary tab. The Last Name is a link to the employee's timesheet.

     

    Click the Mouse link.

  12. NOTE: Any corrections or reported time and absence request done by the manager on behalf of the employee will require one level up management approval. The manager making the correction/edits will not be able to approve the entry.

  13. The Comments bubble in the Reported Time Status section can be used for additional information as well.

  14. Click the Vertical scrollbar to move down the page.

  15. As Manager, you have the option of pushing back reported time. Push Back should be used only when you need the employee to make a correction and only push back the line for which the correction should be made.

     

    In the Reported Time Status section, you can Select the individual rows to be pushed back by checking the Select column next to that row or you can click the Select All button to push back the entire timesheet.

  16. Please note: If you push back an entire timesheet, you will receive an email notification for each field on the timesheet.  It is recommended that you only push back the row that needs to be corrected.

     

    Once you have made your selection, click the Push Back button in the Approval section.

  17. You also have a Deny button which also alerts the employee a correction is required. Or you may use the Deny button to deny a Comp Time Take request. Comp Time Take is a leave request that is only available via the timesheet and not the absence request form.

  18. You have the option of selecting specific Dates to Approve, Deny, or Push Back. This is especially helpful when you have a combination of actions taking place.

  19. For this example, we are approving all reported time with a Needs Approval status.

     

    Click the Select All button.

  20. Notice the check mark next to all items with Needs Approval status.

  23. After time has been submitted, you can review the status on the Reported Time Status tab.

    All accrued absence balances can be viewed at the bottom of the timesheet page.

  32. If an employee has an Exception on their time, it will be shown in the Exceptions tab.

     

    For example, an employee that worked more than their normal schedule would have an exception. This is merely a heads up to the Manager and does not affect the time.
